OF APDSA MALAYSIA 2009 MEETING

1.0 Introductory speech from the President Elect, Lee Meng Yit and LOC President, Shim Chung Nam
1.1 LOC members also have to register Part A before 4th April 2009
1.2 Namecard Design Shown (Sheet 2)
2.0 Venue
2.1 Previously it has been decided in last meeting that the APDSA Malaysia 2009 will be held at Bayview Resort Hotel, Penang .
3.0 Sponsorship
3.1 The sponsorship team needed to collect RM 30,000 (target)
3.2 Now the team managed to get RM10,500.
3.3 The LOC members will get some rebate in registration fees from the sponsorship money
4.0 Community Service
4.1 Proposed to be divided into two groups, primary and secondary school. The primary school children will be taught about oral health and how to brush. While the secondary school children will received dietary and smoking habit talk.
4.2 It is based on voluntary basis. If any participants decided not to join, it will be a ‘Free & Easy Session’ for them.
4.3 There are suggestion from the floor about visit to a dental school for nurses and technicians in Penang .
4.4 Problem arise: how to conduct the activities (students, supervision, lecturers), there should be a range of participants joining and transportation problems.
5.0 Welcoming Dinner
5.1 The Welcoming Dinner project director explains about the flow of the programme that night which will be starting at 6.00pm.The participants will be seated in group.
5.2 There will be a speech from LOC, Alumni, Multimedia Show and during the dinner there will be three performances from three different ethnic groups (Malay, Indian and Chinese)
5.3 The team needed RM 500/performance, LCD and projector, follow spot
5.4 There are suggestion from the floor about flag ceremony
5.5 Problem arise: Starting time overlap with prayer time, late VIPs and budget for the performances
6.0 Opening Ceremony
6.1 The Opening Ceremony team (UiTM) didn’t managed to come to the meeting
7.0 Cultural Night
7.1 The Cultural Night Project Director explains about the flow of the programme which will be held at the different location (not in the hotel), and it starts at 6pm .
7.2 Each participated country will be given 15 minutes for their performance but next APDSA host country, Japan will be given 20 minutes for their performance.
7.3 The director proposed that our local performance will be comprising of Zapin, Ngajat, Indian, Chinese Dance.
7.4 There will also be flag transfer ceremony, multimedia presentation and prize giving ceremony.
7.5 Problems arise: the venue, transportations and measurement for the stage
8.0 Program Book
8.1 The program book will be comprising of 70 pages for 300-400 participants
8.2 The program book director explains about the budget for full colour and half colour, half black & white book.
8.3 The contents will be similar to the program book from previous APDSA.
8.4 There is suggestion for the full manuscript to be given in the form of CDs which is much cheaper.
9.0 Tropical Night
9.1 It will be held at the hotel garden.
10.0 Others
10.1 Quotations for the video and professional cameramen needed.
10.2 There are a few nominations for the emcees.
